1. Introduction
Thanks for choosing Evaluate Easily! At Evaluate Easily, we want to give you the best possible experience while using our product and services. To do this we need to understand your usage habits so we can deliver an exceptional and personalized service specifically for you. Your privacy and the security of your personal data is, and will always be, enormously important to us. So, we want to transparently explain how and why we gather, store, share and use your personal data - as well as outline the controls and choices you have around when and how you choose to share your personal data. That is our objective, and this Privacy Policy ("Policy") will explain exactly what we mean in further detail below.

2. About this Policy
This Policy sets out the essential details relating to your personal data relationship with Evaluate Easily which is a product and service of Gravisc (SMC-Pvt.) Ltd., Pakistan. The Policy applies to all Evaluate Easily products and services and any associated products and services (referred to as the 'Evaluate Easily Product and Service'). The terms governing your use of the Evaluate Easily service are defined in our Terms and Conditions of Use (the "Terms and Conditions of Use"). From time to time, we may develop new or offer additional products and services. If the introduction of these new or additional products and services results in any material change to the way we collect or process your personal data we will provide you with more information or additional terms or policies. Unless stated otherwise when we introduce these new or additional services, they will be subject to this Policy.

The aim of this Policy is to:
1. Ensure that you understand what personal data we collect about you, the reasons why we collect and use it, and who we share it with;
2. Explain the way we use the personal data that you share with us in order to give you a great experience when you are using the Evaluate Easily Service; and 3. Explain your rights and choices in relation to the personal data we collect and process about you and how we will protect your privacy.

Alternatively, if you do not agree with the content of this Policy, then please remember it is your choice whether you want to use the Evaluate Easily product and service.

3. Your rights and your preferences: Giving you choice and control
The General Data Protection Regulation or "GDPR" gives certain rights to individuals in relation to their personal data. Accordingly, we are happy to offer transparency and access controls to help users take advantage of those rights. As available and except as limited under applicable law, the rights afforded to individuals are:

• Right to rectification - the right to request that we amend or update your personal data where it is inaccurate or incomplete;
• Right to erasure - the right to request that we delete your personal data;

o the right to object to your personal data being processed for direct marketing purposes;
• Right to data portability - the right to request a copy of your personal data in electronic format and the right to transmit that personal data for use in another party's service; and
• Right not to be subject to profiling, where it would have a legal effect on you.

In order to enable you to learn more about these rights, exercise these rights with ease, and record your preferences in relation to how Evaluate Easily uses your personal data, we provide the following resources:
• Account Settings (accessed via your account page) - allows you to exercise choices about the processing of certain personal data, and an automated 'Download your data' function to download basic account and usage information.
• Privacy Policy (this document) - where you can find more information about how Evaluate Easily uses your personal data, your rights in relation to your personal data, and how to exercise those rights.
• Notification Settings (part of your account settings) - allows you to choose which marketing communications you receive from Evaluate Easily. You may toggle these settings to opt in or out of receiving different types of email and push notifications. You can use the Notification Settings to exercise choices about all categories of email and push marketing communication.
• Cookies Policy - provides more information on how we use cookies, including for advertising.
• Customer Support resources (accessed via your account page) - you can reach us by email to inquire about the any specific thing or refer to the FAQs section for more details.

4. Personal data we collect from you
We have set out in the tables below the categories of personal data we collect and use about you and how we collect it. The table below describes personal data collected when you sign up for the Evaluate Easily Service.

User Data This is the personal data that is provided by you or collected by us to enable you to sign up for and use the Evaluate Easily Service. Depending on the type of Evaluate Easily Service plan you sign up for, this may include your name, email address, phone number, birth date, gender, street address, and city, state, country, affiliation and job title.
Some of the personal data we will ask you to provide is required in order to create your account. You also have the option to provide us with additional personal data in order to make your account more personalized.
The exact personal data we will collect depends on the type of Evaluate Easily Service plan you sign up for, how you create an account, and whether you use third party services to sign up and use the Evaluate Easily Service. If you use a third party service to create an account, we will receive personal data via that third party service but only when you have consented to that third party service sharing your personal data with us. Please note that the available plans and sign-up options may differ by country.

    • URL information;
    • online identifiers including cookie data and IP addresses;
    • information about the types of devices you are using such as unique device IDs, network connection type (e.g. wifi, 4G, etc.), provider, network and device performance, browser type, language, information enabling digital rights management, operating system;
    • your non-precise location based on your IP address, language setting of your device, or payment currency to deliver personalized content and/or advertising to you; and
    • we may or may not use motion-generated or orientation-generated sensor data (e.g. accelerometer or gyroscope) if available on your device for the purposes of providing specific features of the Evaluate Easily Service.
Exam Data (Information collected when you create, share an exam using an instructor account or take an exam using a student account) An evaluation may consist of an exam, test, quiz, viva voice or some other kind. When you create an exam/test/evaluation on Evaluate Easily we collect only relevant information necessary for conducting an evaluation from you in the form of:
Exam: you provide us with the exam name and what category of individuals it is intended for including exam language information, duration, date and time of conducting the online exam, order of questions and how the questions will be presented including if the examinees are allowed to see correct answers.
Questions: you provide us with this information in the form text, including question name and description and type of question as well as type of answer and any accompanying images/videos, mathematical equations and symbols, voice data if it is an audio question or other information such as the time allowed, points for that question and length of the expected answer where applicable.
Answers: you provide us with this information for implicit evaluation/checking of the exam or for displaying it to examinees at the end of an evaluation
Sharing: you provide us the information about the location where to share the exam (your personal page, exam central) and the description for what this exam is about and tags that help others to find, search that exam in the shared space or view questions or take an exam.
we also automatically record the IP address and other similar information about the computer used to create or share an evaluation.
we also keep record of the number of exam created by you and the number of questions in each exam and there type.

When you take an exam/test/evaluation of any kind build on the Evaluate Easily platform we collect the following information from you in the form of:
Exam: you provide us information about the exam you are taking in the form of exam code and we record the time at which you are taking that exam and whether you have answered all questions or left the exam unfinished
Answers: you provide us the answers to the question in the form of selection choice, text description, equations, symbols and/or images and/or audio answers. We only collect audio data that you provide us yourself as part of the answer.
in order to provide additional services like online proctoring or record and review proctoring we may collect further information including proof of identification, video and/or audio, full desktop screen recording and recording of screenshots of the evaluation session. If and when online proctoring service is being used by the instructor you will be provided information about it before starting the exam that it is a proctored exam.
we collect your answers and may score your responses in case of automated evaluation depending on question type or the instructor may score it and derive an overall evaluation score and the instructor or Evaluate Easily may use this data collected to generate reports about your results. Any personal data about you like your name, email, affiliation will be visible to the instructor who created the exam. Providing such personal data is necessary if you wish to take the exam/test/evaluation. You should raise with the instructor any concerns you have regarding personal data that you are asked to provide as part of the exam process as all questions in an exam are created by the instructor.
all answers you provide are visible to the instructor who may or may not be able to download that data depending on account type and subscription plan.
we also automatically record the IP address and other similar information about the computer used to take an evaluation.
we may also collect other information during an evaluation which may or may not help the instructor in identifying cases of cheating or other unfair means used by an examinee

while we comply with all privacy and data protection laws applicable to the personal information being processed, including where applicable the General Data Protection Regulation  (“GDPR”) we cannot ensure that instructors using the platform may or may not comply with them as they may or may not be employees of independent universities/institutes/organizations. The collection, use and further disclosure of your personal information by the instructor is subject to the instructor’s affiliation and own privacy policies of its employer for which Evaluate Easily is not responsible and which may be different from this privacy policy. The instructor is responsible for ensuring that the personal information collected from you and processed as part of the evaluation process is collected and processed in accordance with applicable data protection laws.
Evaluate Easily or its owner company does not sell personal information to other companies.
Plan Data For users of certain subscription plans we may use a third-party mapping application (e.g. Google Maps) and/or your devices location service to help you verify your address. This data is collected for the sole purpose of verifying eligibility for any subscription plan and is not used for advertising or any other purpose.

Audio Data Evaluate Easily only collects voice/audio data when an instructor wants to create an audio question or an examinee taking an evaluation wants to answer a question using voice/audio data as part of the exam. We may also collect voice data in case of proctored exams in which verification of the person taking the exam is required.
Payment and Purchase Data We may collect certain personal data if you sign up for a Trial or purchase any of our paid subscriptions (as defined in the Terms and Conditions of Use) or make other purchases through the Evaluate Easily Service. The exact personal data collected will vary depending on the payment method but will include information such as:
  • Name;
  • Date of birth;
  • Credit or debit card type, expiration date, and certain digits of your card number;
  • Postal code;
  • Mobile phone number; and
  • Details of your purchase and payment history.
Contests, Surveys and Sweepstakes Data When you complete any forms, respond to a survey or questionnaire, or participate in a contest, we collect the personal data you provide.

6. Sharing your personal data
We have set out the categories of recipients of the personal data collected or generated through your use of the Evaluate Easily Service.

Publicly available information
For instructor accounts the following personal data will always be publicly available on the Evaluate Easily Service: your name and/or email, affiliation, job title, personal page URL (with unique code) created for you when you sign up for the account on the Evaluate Easily Service.
For student accounts no information is publicly available currently however students accounts may or may not also get a personal page URL (with unique code). In that case your name and/or email, affiliation will be publicly available.

Personal data you may choose to share
The following personal data will only be shared with the categories of recipients outlined in the table below if you choose to make use of a specific Evaluate Easily Service feature where sharing of particular personal data is required for the proper use of the Evaluate Easily Service feature; for example you share an exam on your personal page or exam central, comments you make on your/others exams, likes you make on your/others exams.

Personal Page When you register for a Evaluate Easily Instructor account you get allocated a personal URL to share your exams on. This page will be publicly searchable or displayed to anyone who may or may not use the Evaluate Easily Service. If you do not share any exam on the personal page then nothing will appear on your personal page.
Exam Central Exam central is a community of all Evaluate Easily users whether Instructor or Students or other type of accounts and can be accessed by everyone. However only Instructor or certain special accounts are allowed to share exams on the exam central. When instructor or other such special accounts share exams on the exam central their name and personal page URL is visible to everyone using the Evaluate Easily service as a registered user. If you do not share any exam on the exam central then no personal information will appear there.
There may be times when you want us to share information about your use of the Evaluate Easily Service with other Evaluate Easily users known as ‘Your Evaluate Easily Community members’. For example, you have the ability to make both private and public exams. If you share your private exams with others, please be aware that they can take those exams, view its questions depending on settings or like or comment on those exams to exchange ideas and information with you or interact with you.
For both Instructor and Student accounts:
If you like or comment on a shared exam then your name and personal page if present along with its URL will be visible to everyone.

Information we may share

Service providers We may work with service providers that work on our behalf which may need access to certain personal data in order to provide their services to us. These companies include those we've hired to provide customer service support, operate the technical infrastructure that we need to provide the Evaluate Easily Service, assist in protecting and securing our systems and services and help market Evaluate Easily’s own products and services as well as partner products, services, events, and co-branded promotions in which Evaluate Easily is involved.
Payment processors We may share your personal data with our payment processors as necessary to enable them to process your payments, and for anti-fraud purposes.
Advertising partners We may work with advertising partners to enable us to customize the advertising content you may receive on the Evaluate Easily Service. These partners help us deliver more relevant ads and promotional messages to you, which may include interest-based advertising (also known as online behavioral advertising), contextual advertising, and generic advertising on the Evaluate Easily Service. We and our advertising partners may process certain personal data to help Evaluate Easily understand your interests or preferences so that we can deliver advertisements that are more relevant to you.
Evaluate Easily partners Depending on how you sign up for the Evaluate Easily Service (e.g. through a third-party service), we may share your email as necessary to enable your account.
Academic researchers We may or may not share your exam data for activities such as statistical analysis and academic study but only in a pseudonymised format and no user details or personal information is ever given to anyone. We may statistically aggregate data in non-person specific form and use this data for operations management, quality control and security purposes and to improve the quality of our future products and services either thorough study or data analysis.
Evaluate Easily Owner Company We may share your personal data with other Evaluate Easily owner company to carry out our daily business operations and to enable us to maintain and provide the Evaluate Easily Product and Service to you.
Law enforcement We may share your personal data when we in good faith believe it is necessary for us to do so in order to comply with a legal obligation under applicable law, or respond to valid legal process, such as a search warrant, a court order, or a subpoena. We also share your personal data where we in good faith believe that it is necessary for the purpose of our own, or a third party’s legitimate interest relating to national security, law enforcement, litigation, criminal investigation, protecting the safety of any person, or to prevent death or imminent bodily harm, provided that we deem that such interest is not overridden by your interests or fundamental rights and freedoms requiring the protection of your personal data.
Purchasers of our business We may share your personal data in those cases where we sell or negotiate to sell our business or product to a buyer or prospective buyer. In this situation, Evaluate Easily will continue to ensure the confidentiality of your personal data and give you notice before your personal data is transferred to the buyer or becomes subject to a different privacy policy.

By using our site or building and taking evaluations, you give consent for such use. Except where our use does not require consent under applicable law, you may withdraw your consent to such use at any time by contacting us as described in this privacy policy. The right to object to processing of your personal data under the GDPR applies even when we process your personal data on a basis other than your consent, such as based on our legitimate interests or to perform a contract with you.

7. Data retention and deletion
We keep your personal data only as long as necessary to provide you with the Evaluate Easily Service and for legitimate and essential business purposes, such as maintaining the performance of the Evaluate Easily Service, making data-driven business decisions about new features and offerings, complying with our legal obligations, and resolving disputes. We keep some of your personal data for as long as you are a user of the Evaluate Easily Service. For example, we keep your exam data and account information. If you request, we will delete or anonymize your personal data so that it no longer identifies you, we need to maintain certain personal data, including in situations such as the following:
• If there is an unresolved issue relating to your account, such as an outstanding credit on your account or an unresolved claim or dispute we will retain the necessary personal data until the issue is resolved;
• Where we need to retain the personal data for our legal, tax, audit, and accounting obligations, we will retain the necessary personal data for the period required by applicable law; and/or,
• Where necessary for our legitimate business interests such as fraud prevention or to maintain the security of our users.

8. Transfer to other countries
Evaluate Easily shares your personal data with its owner company in order to carry out the activities specified in this Policy. Evaluate Easily may also subcontract processing to, or share your personal data with third parties for providing you certain services which may be located in countries other than your country. Your personal data, therefore, may be subject to privacy laws that are different from those in your country.

9. Links
We may display advertisements from third parties and other content that links to third-party websites. We cannot control or be held responsible for third parties' privacy practices and content. If you click on a third-party advertisement or link listed on Evaluate Easily website (www.evaluateeasily.com), please understand that you are leaving the Evaluate Easily Service and any personal data you provide will not be covered by this Policy.

10. Keeping your personal data safe
We are committed to protecting our users' personal data. We implement appropriate technical measures to help protect the security of your personal data; however, please note that no system is ever completely secure. We have implemented various policies including pseudonymization, encryption, access, and retention policies to guard against unauthorized access and unnecessary retention of personal data in our systems. Your password protects your user account, so we encourage you to use a strong password that is unique to your Evaluate Easily account, never share your password with anyone, limit access to your computer, browser and log out after having used the Evaluate Easily Service.

11. Children
The Evaluate Easily Service is not directed to children under the age of 13 years. The Evaluate Easily Service is also not offered to children whose age makes it illegal to process their personal data or requires parental consent for the processing of their personal data under the GDPR or other local law. We do not knowingly collect personal data from children under 13 years or under the applicable age limit. If you are under the age limit, please do not use the Evaluate Easily Service, and do not provide any personal data to us. If you are a parent of a child under the Age Limit and become aware that your child has provided personal data to Evaluate Easily, please contact us using the email address available on the website. If we learn that we have collected the personal data of a child under the age of 13 years, we will take reasonable steps to delete the personal data. This may require us to delete the Evaluate Easily account for that child.

12. Changes to this Policy
We may occasionally make changes to this Policy. When we make material changes to this Policy, we'll provide you with prominent notice as appropriate under the circumstances, e.g., by displaying a prominent notice within the Evaluate Easily Service or by sending you an email. We may notify you in advance. Please, therefore, make sure you read any such notice carefully.
